Job Summary:
The African Development Bank Group is seeking a highly organized and proactive Team Assistant to join the Governance and Economic Reforms Department (ECGF) in Pretoria, South Africa. The successful candidate will provide administrative and operational support to the ECGF.2 Division, ensuring the effective implementation of the annual work program, portfolio management, and office administration. This role requires excellent organizational skills, attention to detail, and the ability to work in a dynamic, multicultural environment.
Key Responsibilities:
Portfolio Management Support:
- Manage data and contract entry in SAP, generate relevant information, and upload implementation progress reports (IPRs) and project completion reports.
- Support the use of the Bank-wide Project Processing Schedule (BPPS) for reviewing operations and preparing Board documents.
- Compile and maintain a portfolio database, ensuring accuracy and completeness of project information.
- Prepare monthly and quarterly reports on portfolio management and lending program performance.
Office Administration:
- Manage travel and expense reports in SAP, ensuring compliance with Bank policies.
- Organize and maintain office systems, including document management and information tracking.
- Assist the Division Manager in coordinating meetings, events, and mission travel logistics.
- Provide administrative support, including drafting memos, spreadsheets, and presentations.
Communication and Coordination:
- Facilitate communication between internal and external stakeholders to support the lending program and policy dialogue.
- Prepare briefing notes, correspondence, and other documents necessary for project and program management.
- Organize seminars, workshops, and other activities, including preparing PowerPoint presentations and meeting minutes.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Business Management, Finance, Commerce, Economics, or a related field.
- Experience: Minimum of 5 years of relevant professional experience in program/project formulation, implementation, and monitoring, preferably within an international organization.
- Skills:
- Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint).
- Knowledge of SAP and internal software such as BPPS is an asset.
- Strong organizational, interpersonal, and communication skills.
- Ability to work under pressure, prioritize tasks, and meet multiple deadlines.
- Fluency in English or French, with a good working knowledge of the other language.
