Job Title: Executive Secretary

Role Overview
- The Executive Secretary will provide comprehensive administrative and organizational support tothe Executive Leadership Team/CEOto ensure efficient daily operations and the smooth execution of strategic initiatives.
- The ideal candidate will be highly organized, professional, and adept at managing schedules, handling confidential information, and supporting executive-level decision-making.
Key Responsibilities
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and events.
- Organize and prepare briefing materials for meetings and presentations.
- Handle correspondence, including emails, letters, and memos, with professionalism and discretion.
- Monitor and follow up on action items, ensuring deadlines are met and commitments are fulfilled.
- Prepare meeting minutes and ensure follow-through on agreed tasks.
- Liaise with stakeholders, clients, and partners to build and maintain professional relationships.
- Maintain and organize confidential documents and information in line with company policies.
- Assist with the planning and execution of special projects and administrative tasks as assigned.
- Coordinate travel arrangements, itineraries, and agendas for business trips and events.
- Act as the main point of contact for internal and external communications on behalf of the executive.
Qualifications & Experience
- Proven experience as an Executive Secretary, Personal Assistant, or similar administrative support role.
- Exceptional organizational and time management skills, with attention to detail.
- Ability to work under pressure, manage multiple priorities, and maintain professionalism in a fast-paced environment.
- Discretion and sound judgment when handling confidential information.
- Strong communication and interpersonal abilities, both written and verbal.
- Proficient in [insert tools or software, e.g., Microsoft Office Suite, Google Workspace, scheduling tools, CRM systems, etc.].
