Job Description

  • The Store Officer plays a critical role in managing the daily inventories and processes in the store.
  • The Store Officer is responsible for conducting physical count to verify accuracy of incoming and outgoing spare parts, receiving incoming spare parts according to DCT’s policy and procedures, and maintaining the inventory management software.
  • The Store Officer maintains up-to-date records of material inventory, providing information on current stock and orders, and monitoring trends of product receipt and dispatch at the store to forecast demand.

Key Duties and Responsibilities

  • Keep track of all parts, tools, and supplies in the workshop inventory.
  • Monitor stock levels and reorder supplies as needed to ensure that essential items are always available.
  • Implement inventory control measures to prevent theft, damage, or loss.
  • Receive and inspect incoming shipments of parts and supplies.
  • Check for accuracy in the delivered items and report any discrepancies to the relevant personnel.
  • Ensure that all received items meet quality standards and are in good condition.
  • Organize and maintain the storage of parts and supplies in an efficient manner.
  • Implement a logical and systematic arrangement to facilitate easy retrieval of items.
  • Utilize storage space effectively and optimize the layout for accessibility.
  • Maintain accurate and up-to-date records of inventory levels, transactions, and receipts.
  • Generate reports on inventory status and usage as required by management.
  • Document any issues or discrepancies in the inventory management system.
  • Coordinate with workshop managers, mechanics, and other staff to understand their needs for parts and supplies.
  • Ensure that all materials are stored in compliance with relevant safety and environmental standards.
  • Oversee the maintenance of tools and equipment used in the workshop.
  • Schedule regular inspections and servicing of tools to ensure they remain in good working condition.
  • Address issues related to inventory shortages, discrepancies, or damaged items promptly.
  • Propose and implement solutions to improve the efficiency of the store-keeping process.
  • Work closely with vendors and suppliers to ensure timely and accurate deliveries.
  • Communicate effectively with the procurement department to streamline the ordering process.
  • Implement quality control measures to ensure that all parts and supplies meet the necessary standards.
  • Conduct regular inspections of inventory to identify and remove any damaged or expired items.
  • Adhere to safety guidelines and regulations in the handling and storage of inventory.

Requirements

  • Bsc / HND in Purchasing and Supply Management, Accounting, Economics or related field.
  • 3 – 5 years of cognate work experience as Store Officer.
  • High degree of multi-tasking and time management capability.
  • Integrity and professionalism.
  • Proficiency in MS Office.
  • Good communication, customer service and relationship-building skills.
  • Familiarity with inventory management and optimization techniques.
